Digital Tools & Automation

Booking systems and sales automation built to turn website visitors into confirmed customers, without you manually chasing every enquiry.

Sound familiar?

  • Customers have to call or email to book, and half of them never follow through.

  • You're manually replying to the same enquiries over and over, and some inevitably slip through.

  • You're capturing leads, but nothing happens with them once they're in your inbox.

  • You know automation could save you hours a week, but you don't know where to start or what's worth building.

None of that means you need a huge system overhaul. It means the gap between someone finding you and someone becoming a customer hasn't been built properly yet.

Bespoke booking systems built around how your customers book

Online booking built around the way your customers book, so a visitor becomes a confirmed customer without you chasing it.

  • Built around your business. Appointments, classes, reservations or event registrations, whatever your booking flow needs to do.

  • Payment integration included. Deposits or full payment collected at the point of booking, where relevant.

  • Fewer no-shows, less admin. Automated confirmations and reminders instead of manual chasing.

  • Works for your industry. Hair and beauty salons, fitness classes, hospitality reservations, consultations and event bookings all work differently, and we build each one accordingly.

Sales funnel and marketing automation

Automated systems that capture, nurture and move leads through your sales process, so fewer enquiries go cold before you've even replied. As your marketing automation agency, we build it around the marketing that's already bringing people to your website.

  • Lead capture built to convert. Forms and lead magnets designed to get filled in, not ignored.

  • CRM integration. Leads land somewhere organised, not scattered across inboxes and spreadsheets.

  • Automated nurture campaigns. Prospects hear from you consistently, without you writing every email by hand.

  • Quote request workflows. Enquiries routed and actioned properly, instead of sitting unanswered.

  • Connects to what you're already doing. Built to complement your SEO, paid advertising and content marketing, so the traffic you're already generating actually converts.

We'll recommend the simplest option that works

Not every business needs something built from scratch. If a tool like Calendly or Squarespace Scheduling fits how you take bookings, we'll set it up, brand it and connect it to your website and CRM, and we'll tell you so on the first call.

A bespoke booking system is worth it when your bookings don't fit a standard calendar, when you want booking to sit fully inside your website and brand, when bookings need to feed straight into other systems, or when per-booking fees from an off-the-shelf tool start adding up as you grow.

Either way, you get the option that suits your business and budget, not the one that's most profitable for us to build.

How it works

  1. Free consultation. We map how enquiries and bookings reach you now, and where they drop off.

  2. Recommendation and quote. Off-the-shelf, bespoke or a mix of both, with a fixed quote in writing.

  3. Build and test. We build the system and test it with real bookings and test leads before anything goes live.

  4. Launch and handover. Training for you and your team, and clear notes on how everything connects.

Why Ninety8 Media

Marketing and tech under one roof. Most developers can build a booking system, and most agencies can write a nurture email. We do both, so the system and the messages going through it are planned together.

Built by someone who's run a business. Tom, our software engineer, has 15 years across marketing, e-commerce and software, and built and ran his own e-commerce business. He builds for the way a small team works day to day.

Your customers' data, handled properly. Ninety8 Media is registered with the ICO. We build with UK GDPR in mind: clear consent on forms, only the data you need, and payments handled by established payment providers rather than stored on your website.

FAQs

How much does a booking system or automation cost?

It depends on whether we're setting up an existing tool or building something bespoke, how many systems need connecting, whether payments are involved and how many email sequences need writing. On top of the build, budget for any software subscriptions, payment processing fees and, for bespoke systems, hosting. Your quote sets all of it out.

Do I need a full website rebuild to add a booking system?

No. Booking systems can usually be integrated into your existing website, though a poorly structured site will limit how well it converts. If yours needs work, see our [web design and development services].

Can customers pay when they book?

Yes. Online payment integration can be built in, so deposits or full payment are collected at the point of booking where that suits your business. We work with several payment providers, so we'll use the one that fits your business, or the one you already have.

Do you build the CRM, or connect to one we already use?

Both. We work with a range of CRMs and can integrate with the one you're already using, or recommend one that fits your business if you don't have one yet.

Which CRM is best for a small business?

The one your team will keep up to date. For most small teams, a simple CRM that everyone uses beats a powerful one nobody logs into. We'll recommend one based on how you sell, how many people need access and what it has to connect to.

How does automation connect to my existing systems?

Usually through each tool's own integrations, or through no-code tools like Zapier and Make, which link apps together without custom development. Where those can't do what you need, we build the connection.

What's the difference between marketing automation and email marketing?

Email marketing is the messages: newsletters, campaigns and announcements. Marketing automation is the system that decides who gets what and when, based on what they've done, like filling in a form or requesting a quote and going quiet. If you need the emails written and managed too, that's our [Email Marketing] service.

What counts as a "lead magnet"?

Anything a visitor gets in exchange for their details: a downloadable guide, a discount code, a free consultation offer. It only works if it's something your audience wants.

How much manual work does automation remove?

It depends on the workflow, but the aim is that routine, repeatable tasks (confirmations, reminders and first follow-ups) run without you touching them, so your time goes on the enquiries that need a person.

Is this only useful for bigger businesses?

No. It often matters more for smaller teams, since there's no one whose job it is to chase every lead manually. Automation does the following-up that would otherwise not happen at all.

Do you work with businesses outside Oxford?

Yes. We're based in Oxford, but most booking and automation work is delivered remotely, so we work with businesses across the UK and internationally.
